Privacy Policy

ProSource Supply Ltd. (“ProSource”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through our trade portal, how we use it, who we share it with, and the choices you have. We handle personal information in line with applicable Canadian privacy law, including British Columbia’s Personal Information Protection Act and the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

• Account and contact details: your name, company, email address, phone number, and billing and shipping addresses.
• Orders and account activity: orders, quotes, lists sent to a branch, return requests, invoices, payments and your account balance.
• Account requests: the name, company name, email, phone number, city and province you give us when you ask for a trade account.
• Preferences and searches: your chosen branch and display theme, and your last 50 searches, which only you can see and can clear at any time in Settings.
• Technical information: your IP address, browser and device type, and the pages you use, recorded in our systems’ logs to keep the portal secure and working.

We do not store payment card numbers. Card payments are entered on our payment processor’s secure page.

How we use it

• To run your account: prices, orders, quotes, deliveries, returns, invoices and payments.
• To contact you about your account and orders, including order confirmations and replies to your requests.
• To respond to account requests and set up new accounts.
• To protect the portal and our customers from fraud, spam and abuse.
• To meet our legal, tax and accounting obligations.

We do not sell or rent your personal information, and we do not send you marketing email without your consent.

Who we share it with

We share personal information only with the service providers that run parts of the portal for us, and only what each one needs:

• Oracle NetSuite, our business system, which holds customer accounts, orders and invoices.
• Cloudflare, which hosts the portal and protects it from attacks and spam (see Cloudflare Turnstile below).
• Resend, which delivers our email.
• Windcave, which processes card payments.
• Our shipping and freight carriers and rating services, which receive a delivery address and parcel details to quote and ship an order.
• Google Maps, which shows the map on our store locator page when you use it.

Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country. We may also disclose information where the law requires it.

Cloudflare Turnstile

We use Cloudflare Turnstile to protect our forms, such as the account request form, from spam and abuse. Turnstile checks, usually without you seeing anything, that a form is being sent by a person rather than an automated program. To do this it processes limited information about your browser and connection, such as your IP address and browser details. Your use of Turnstile is subject to Cloudflare’s Privacy Policy and the Turnstile Privacy Addendum.

Cookies and browser storage

When you sign in we set one cookie, which keeps you signed in and expires after 12 hours or when you sign out. Your light or dark display choice is remembered in your browser. We do not use advertising or analytics cookies.

How long we keep it

We keep account and order information while your account is open and for as long as tax and accounting law requires afterwards (generally six years). Account requests are kept for as long as they are useful to set up or follow up on an account. Search history is limited to your last 50 searches.

How we protect it

Access is limited to people who need it for their work, the portal is served only over encrypted connections, and passwords are stored only in a form that cannot be read back. No system is perfectly secure, and we will let you know if a breach puts your information at real risk.

Your choices and rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it, subject to legal and contractual limits. Your account admin can also add or remove people on your account under User management.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
